Records of most schools in Nigeria, either public or private, are kept manually, in paper form. With the passage of time, vital records and information are lost as the papers get defaced. This problem, coupled with the difficulty of wading through a mountain of paperwork often result in wrong performance analysis, inaccurate planning, and inefficient management of the schools.

But the few schools that have adopted the electronic records keeping and management system have risen above these challenges as Information and Communication Technology, ICT, affords school managers to have a total view of all the schools activities, including the school’s corporate records, finance and staff records as well as students records.

The slow adoption of software by school owners in records management informed the invitation of school owners in Lagos State to a workshop which PXN Consulting, a training and consulting firm, organised for them last week.

At the forum, school owners were exposed to the technique of how to effectively manage the ever-growing school records using the ProsKool. According to the Managing Director/CEO of the firm, Ozo-Onyali Edward, ProsKool Software, which is designed by PXN Consulting, is a complete web enabled database – driven school management software that manages both students and staff records.

The software, he says, is designed in a way that ensures better data flow between the school’s management team, students, parents and teachers, adding that the software has the facility for sending students’ results by mail to parents, a seamless course instructor allocation, effective user access control and processes ten students’ result at a go.

This novel school records management software is particularly appealing to private school owners because with Internet connection in place, they can log into the software from anywhere in the world to have a total view of the various school activities.

First is the ability to have an overview of all the number of students that registered per term and the total number of students per term, have firsthand information on students’ fees payment status, knowing total amount owed the school by students as well as have a complete database of staff, students and instructors with just a click.

It should be heart-warming to those school owners who are interested in deploying this software in managing records in their schools to learn that they do not necessarily have to install Internet facility in their schools as they can log into the software from any cyber café anywhere in the world. This alleviates the challenge of constant power failure or the high cost of fueling generators.

However, school proprietors who are willing to adopt the use of this software must realise that they need to be computer literate as a minimum level of computer basics is required before they can use the software. But it is not compulsory for them to have more than one ProsKool software to manage all the activities and information as they can maintain one software if the school have a public IP address or means of connecting the system in other schools.

Full automation of schools records is recommended because it will certainly enable schools to meet its legal responsibility and will aid its administrative efficiency.
